Said It Here

Why is it so hard to find internal company documents?

Company files end up buried in endless folders within folders across Google Drives and local servers. Because it is never clear where a document belongs or who owns it, people stop trying to search through the mess. They simply give up and ask coworkers for the information instead.

What people tried

Every workaround mentioned in the threads below. We haven’t tested any of them — and nobody here is claiming they worked.

  1. 1
Bypassing self-service guides and ticketing systems to ask coworkers directly
  2. 2
Sending employees back to submit tickets and re-explaining where information is stored
  3. 3
Distributing information through weekly newsletters and Google Drive shared folders
  4. 4
Storing documents in basic folder hierarchies on Google Drive or local servers
  5. 5
Migrating documentation to specialized platforms like Confluence, Outline, GitBook, Notion, or BookStack
  6. 6
Hooking AI tools (like Claude) into documentation repositories to enable natural language search
  7. 7
Assigning specific team members to manually structure, review, and maintain documentation during regular cadences

“It's hard to find information, and it's not always clear where something is supposed to live or who owns it so I get why people are shrugging and just trying to ask vs. putting the work in to find the data.”source ↗
