How to handle month-end close for multiple clients
When clients have different cutoff dates, the month-end close process drags on for two to three weeks, leaving no downtime between cycles. This endless loop is worsened by late rent payments, slow payment processors, and the practice of keeping accounting periods open to catch late bills. Combined with manual workarounds for custom owner distributions, these timing inconsistencies make it difficult to finish a high-volume close quickly.

“I still struggle with the timing. Most tenants pay on time every month, those are easy. But for owners that have 10+ properties, odds are good that someone will be paying laten and that just throws everything out of whack. Mix in a payment processor that can take 3-4 business days to clear, and consistency is just tough.”source ↗
“Scope creep: This is where I'm struggling most. We have owners with custom reserve/distribution schedules that get transferred manually every month because our software can't automate them, one-off GL accounts for rare events, and manual reports sent ahead of the standard close.”source ↗
“The practice established by my predecessor is that for most properties our periods float. Properties close *around* the same time each month, but we sometimes hold one open to catch an expected late bill, a rent payment, or a vacancy we expect to fill. The goal has been to keep owner draws smooth, but the cost is that period lengths and timing of distributions vary”source ↗
“I still have a hard time getting through a high volume close round quickly.”source ↗
“I tend to find cash balances sitting at properties that should’ve been sent to owners, expenses posted to wrong accounts because AP fat fingered an account number, errors in report generation (like owners for the same property getting reports scoped to different periods), and of course the standard out-of-trust and security deposit adequacy checks.”source ↗
“I work in commercial real estate and have multiple clients, each client has a different date for their month end so I do month end close 2-3 weeks of the month. Do corporate accountants only have 1 month end? And what do yall do after cutoff? For me I just prepare for another month end for a different client.”source ↗
