How to manage multiple business email accounts without a chaotic mess
Growing businesses often run into trouble when email starts getting messy across different functions like sales and support. While a collaborative inbox lets members read and assign messages, replying as a shared address like sales@ requires setting up 'Send mail as' permissions so messages do not accidentally go out from personal addresses and cause leads to reply directly to individuals.
What people tried
Every workaround mentioned in the threads below. We haven’t tested any of them — and nobody here is claiming they worked.
- 1Using shared mailboxes under one tenant and domain
- 2Setting up aliases or distribution lists
- 3Creating licensed users for every hat and sharing passwords
- 4Purchasing a separate workspace seat for contractors
- 5Manually adding the shared address under account settings to send mail as the group

“The part that trips people up is replying. A collaborative inbox lets members read and assign, but to answer as sales@ from their own Gmail each person has to add it under Settings > Accounts > Send mail as, and the group has to allow members to post as the group. Otherwise replies go out from their personal address and the lead starts writing to them directly.”source ↗
