How to track business vendor contracts buried in email

Contract details are scattered across long email threads and calendars instead of a centralized place, making it easy to miss renewals and forget what was signed months ago. Keeping track of prorated terms, split licensing, and hidden price hikes requires digging through dozens of back-and-forth messages, turning routine management into an exhausting chore.

What people tried

Every workaround mentioned in the threads below. We haven’t tested any of them — and nobody here is claiming they worked.

  1. 1
Keeping documents and agreements in email threads
  2. 2
Using a simple shared spreadsheet or folder with clear naming conventions
  3. 3
Relying on SharePoint or basic documentation management tools
  4. 4
Using a PSA tool to organize things in general
  5. 5
Keeping custom spreadsheets with columns for auto-renewal dates, notice windows, and signatories
  6. 6
Bundling software or subscriptions with hardware purchases for the intended lifecycle
  7. 7
Demanding quotes and deltas in writing before agreeing to any meetings
  8. 8
Using third-party resellers, advisors, or contract management software to handle vendor discussions
  9. 9
Asking vendors to co-term all contracts onto a single anniversary date
  10. 10
Using built-in QuickBooks Bill Pay Basic
  11. 11
Switching to independent third-party platforms like Melio

Tired of wondering what (and with whom) we signed 3-6-etc. months ago, so want to ask.source ↗

Right now everything is basically in email threads and it's really pisses off.source ↗

A calendar isn't enough. The 20-30 back and forths or more for extra complicated renewals, and which ones are prorated, and which is staggered agreements, with split licensing. I'm exhausted keeping track of this. The worst part of the job is the money part.source ↗

The vendor meeting treadmill is real, nobody tells you half the job is just sitting on calls hearing sales people explain their "new simplified pricing model" that somehow costs moresource ↗

I hate renewals. I just want the info - what's changed, what's the cost, what's comparable up and down? That's it.source ↗

They are all so expensive, and I don't know what to do about it, haha.source ↗

manually managing my accounts payable has become too much for me.source ↗

a lot of the popular AP tools (like BILL) seem like overkill for what I need.source ↗

Even when I consolidated costs into as few resellers as possible I’ve still found missed renewals because the vendor never asked for money (which is crazy to me to have to ask to be charged money)source ↗
