Why can't employees ever use the self service portal?

Employees constantly forget how to navigate internal portals and whether they opted into paperless statements, forcing managers to field endless basic questions about tax forms and account settings. This constant hand-holding turns routine administrative upkeep into an ongoing communication drain that wastes hours of management time.

What people tried

Every workaround mentioned in the threads below. We haven’t tested any of them — and nobody here is claiming they worked.

  1. 1
    Sending out pre-emptive reminder emails
  2. 2
Mailing paper forms manually to employees who fail to access them online
  3. 3
    Posting notices on the intranet
  4. 4
    reprinting and remailing tax forms
  5. 5
Explaining tax and reporting rules after the fact
  6. 6
Manually fixing errors and hunting down missing information
  7. 7
Venturing through multiple inboxes and systems to track down missing employee data
  8. 8
Keeping the chart solely for personal tracking and management
  9. 9
Focusing on high-level milestones instead of detailed timelines
  10. 10
Using simplified action lists, summaries, and direct communication
  11. 11
Deploying physical self-help kiosks within the office
  12. 12
Setting up an internal knowledge base
  13. 13
Directing users to an intranet page

Around the end of March last year an employee came to my office to ask where his W2 was. He didn’t have paperless delivery, so it was mailed to the address we had on file. I asked if he’s moved. “Nope.” Okay… let’s just check to make sure it’s right. I read him the address we have, and wouldn’t you know it, he hasn’t lived there in a YEAR.source ↗

Folks that follow the process already may use it. Habitual offenders won't even read the email you send once it's up and running.source ↗
