How to clean up messy CRM data after importing

Messy CRM data filled with duplicates, bounced emails, and outdated custom fields usually happens when a portal is set up without defined hygiene processes or team alignment. This clogs up reports and forces teams to repeatedly clean the database by hand every few months as bad data keeps flowing back in.

What people tried

Every workaround mentioned in the threads below. We haven’t tested any of them — and nobody here is claiming they worked.

  1. 1
defining lifecycle stages before building automation
  2. 2
    cleaning data before importing
  3. 3
getting internal alignment on lead definitions
  4. 4
writing a one-pager of the funnel
  5. 5
    standardizing properties early
  6. 6
deduping on email and company domain
  7. 7
    scheduling a weekly merge review
  8. 8
Manually auditing and deleting junk data
  9. 9
    Rebuilding pipelines and simplifying automations
  10. 10
    Merging duplicate contacts
  11. 11
Using third-party data validation tools to screen incoming contacts automatically
  12. 12
Centralizing research, list logic, and enrichment outside the CRM using tools like Clay before pushing structured records in
  13. 13
Locking down record creation permissions so only admins and operations staff can create new company records
  14. 14
Running weekly deduplication audits and manual cleanup reviews
  15. 15
Building internal hygiene dashboards to surface stale deals and missing values for visibility
  16. 16
Using Add/Edit Multiple List Entries to paste from Excel
  17. 17
Fixing names outside the software before importing
  18. 18
Using batch update tools or IIF/SDK importers
  19. 19
Using the most recent lead as fallback logic
  20. 20
Having sales reps manually choose which record to map activities to
  21. 21
Aggregating all info onto a single record in the secondary platform
  22. 22
Catching and cleaning them up manually when noticed
  23. 23
Setting up rules to prevent duplication of email and/or phone numbers
  24. 24
Using tools to find and merge duplicates
  25. 25
Employing a deterministic identity order before a merge and avoiding auto-merging on name alone
  26. 26
Hiring an external agency or HubSpot partner to do the audit and cleanup
  27. 27
Fixing broken components yourself or leaving tedious and risky parts untouched
  28. 28
Trying to figure out where phone validation should happen in the process, such as contact creation, before assignment, or during sales outreach.

Once we scaled outbound, the issues showed up fast. Duplicate companies, contacts attached to the wrong accounts, missing or stale titles, inconsistent lifecycle stages, and reps editing records just to get sequences out.source ↗

I’ve been working on lead routing in HubSpot and keep running into this issue where phone numbers looks fine in the CRM, but arent really usable for the sales team.source ↗

Some numbers are incomplete, some are formatted wrong, and some looks totally normal in the contact record but dont actually connect when a rep tries to call.source ↗

The annoying part is, the contact still gets sent to Sales like everything is fine. Then the rep only finds out theres a problem when they actually try to reach them.source ↗

It's tough when only a few reps take database hygiene seriouslysource ↗

The amount of clients ive on-boarding that have 10k+ contacts that have bounced several times over, are test emails, are people that clearly do not and will not ever be interested in their services , or just plain invalid emails - all being recycled in email campaigns over and over again is MADDENINGsource ↗

My team struggled with outdated custom fields clogging up reports.source ↗

Biggest headache for us now is keeping everyone aligned on updating deal stages consistently.source ↗

I ran into this same mess when we scaled outbound last year. The duplicate records were the worst part because reps would just pick whichever company object loaded first, and suddenly you've got three versions of the same account with different deal histories.source ↗

I have a unique instance we're struggling to work through and was hoping someone might have ideas.source ↗

How do we get sequence activity to log to the correct SF record? How can we say enroll John in Sequence 1, and then that activity should go to John / Webinar / Product A (Lead Status: Open) and not a different one?source ↗

It is so frustrating that our SF is configured with multiple records for the same person. It's such a nightmare to manage.source ↗

I just exported the customer list to excel and removed the customer's ID, but I can't seem to import a bulk customer in QB Desktop.source ↗

We had the same problem. Cleaned everything up, felt good about it, and three months later the CRM was a mess again because dirty contacts kept coming in through forms.source ↗

reps who were fine keeping things tidy at 20 deals a month start dropping stages, leaving tasks open, or skipping the deal value field once they're juggling 100+.source ↗

Curious how others deal with this — I've inherited (and cleaned up) a few HubSpot portals now that had years of neglect: dead workflows nobody remembers building, duplicate/unused properties, broken lifecycle stages, lead scoring that was turned off and forgotten, orphaned lists still eating contact limits.source ↗

Is there anything you *still* haven't fixed because it's too tedious/risky to touch?source ↗

Duplicate contacts seem like such a small problem at first, but they can make a CRM surprisingly messy over time...source ↗

I feel like this is one of those things that’s easy to ignore until the database gets really messy.source ↗
